Measure once. Quote the real project.

You do not need to complete this worksheet before contacting us. A photo or product link, rough dimensions and estimated quantity are enough to start. Use the detailed checklist later when you want a more accurate sample and quotation.

01Measure the full envelope
02Mark protrusions and access
03Define use and construction
04Approve on the real product

Object measurements

Record the shape—not only three numbers.

Measure in millimetres where possible. Add a simple marked drawing when the object changes width, has sloped faces or includes protruding components.

MeasureWhat to recordPractical note
Overall envelopeLength × width × height at the widest pointsInclude guards, wheels, handles, knobs and raised controls.
Shape changesCorner radii, slopes, steps and different top/bottom dimensionsA rectangular measurement does not describe an irregular object.
ProtrusionsPosition and size of handles, rails, connectors and bracketsMark each feature on front, side and top-view photos.
Access zonesScreens, doors, controls, vents, cables and loading openingsState whether access is needed with the case or cover in place.
ClearanceAreas that need a close fit and areas that need working spaceAllow room for loading, padding, hinges and moving parts.
WeightEquipment weight and total carried weightLoaded weight affects handles, straps, reinforcement and structure.

Photo markup

Six photos can prevent weeks of rework.

Photos should explain how the product is handled and used. A supplier cannot infer hidden hinges, cable routes or loading sequence from one front view.

01Place a ruler or known-size object in at least one photo.

02Photograph the front, back, both sides, top and base.

03Circle fragile points, sharp edges and high-wear contact areas.

04Use arrows to show the normal loading direction and daily access side.

05Label parts that move, become hot, need airflow or must remain visible.

06Show the complete accessory kit in the arrangement you prefer.

Project-specific inputs

Add the details that change the pattern.

01

Soft carrying case

Full kit layout, loaded weight, carrying method, padding priorities, pockets and opening sequence.

02

Fitted equipment cover

Indoor/outdoor exposure, access flaps, vents, cable routes, fastening points and removal direction.

03

Cart cover

Cart frame size, wheels, handles, shelves, daily access face, clear panels, routing pocket and closure.

04

Clear PVC or edge cover

Visibility area, material flexibility, opening direction, sharp-edge profile, reinforcement and ventilation.

These are development inputs, not fixed material or performance claims. Final construction follows the use case, buyer requirements and approved sample.

Requirement checklist

Describe the job before naming the material.

Terms such as “waterproof,” “heavy duty” or “Oxford fabric” are incomplete unless the exposure, cleaning method and required test standard are defined.

DecisionWhat the RFQ should state
Use environmentIndoor storage, service vehicle, warehouse, light outdoor exposure, transport or another defined setting.□ Confirm before sampling
Protection priorityDust, splash, visibility, abrasion, cushioning, surface protection or controlled organization.□ Confirm before sampling
Material directionOxford/coated fabric, clear PVC/vinyl, lining, foam, rigid insert or mixed-panel construction.□ Confirm before sampling
Opening and fixingZipper, hook-and-loop, buckle, elastic, drawstring, straps, grommets, roll-up flap or slip-on opening.□ Confirm before sampling
Cleaning and complianceState the buyer's cleaning method, restricted substances and required test standard before material approval.□ Confirm before sampling
Brand and packingLogo artwork, color reference, labels, instructions, folding method, unit packing and carton requirements.□ Confirm before sampling

Prototype approval

Test the sample as a working product.

Do not approve an empty case or a cover placed on a different object. The approved sample should establish the reference for bulk production.

01Fit the sample on the real product or load the complete equipment kit.

02Operate every zipper, flap, buckle, handle and access opening.

03Check balance and comfort at the actual loaded weight when the product is carried.

04Confirm that hard accessories cannot rub fragile surfaces.

05Photograph each requested revision and identify the affected dimension or panel.

06Freeze the approved pattern, bill of materials, color, logo position and packing method for repeat orders.
